The Undergraduate Student Account

The Office of Student Accounts acts as a clearinghouse for various student charges and credits placed directly on a student's bill by several departments of the University. Any discrepancies in charges or credits should be directed to the appropriate department since the Office of Student Accounts does not have detailed records concerning many items that may appear on an invoice.

Due to certain federal regulations, any Vanderbilt University correspondence will be addressed in the student’s name to the billing address provided by the student. This includes any miscellaneous correspondence coming directly from or related to Vanderbilt University. E-mail is the primary medium for Student Accounts communications with students. Each registered student is assigned an official e-mail address by the University. It is very important that the student maintains and checks their e-mails and accounts regularly. Certain communications may be time-critical.

Vanderbilt University requires that students enroll for electronic billing. Once a student has an invoice, an e-mail will be sent to the student's Vanderbilt email address containing a link to the secure e-bill website. They may access the e-bill from that link or from the link above. After enrolling, students can grant online account access to parents, guardians or other payers. All billing notices will be emailed to the student's Vanderbilt email address and other payers who have enrolled for online billing. Online account access offers a secure way to view bills, make payments and review up to 12 months of payment information. Payers wanting to mail payments may print a payment coupon. Student Account E-Bills are updated the first of each month.

It is important that you complete and return the Vanderbilt University Undergraduate Student Account Agreement. All of the charges that you will incur as a student will be billed to you or your guarantor(s) through your student account. Also, to allow Title IV financial aid to be applied to discretionary charges such as health insurance, Vanderbilt card account, V-net charges, fines, etc., a completed Federal Student Financial Aid Cash Management Authorization must be on record with the Office of Student Accounts. The Cash Management Authorization may also affect your student account refund.

By completing the Student Account Agreement, you indicate the guarantor(s) who will be financially responsible for the charges that you will incur at Vanderbilt University. Once we have these signatures on file, you will be able to add miscellaneous charges, e.g. additions to your Vanderbilt Card account and V-NET (long distance) phone charges to your student account. Charges are billed to your guarantor(s) on the 1st day of each month.

In compliance with the Family Education Rights and Privacy Act (Buckley Act), completion of the Agreement will authorize the University to release information regarding your student account to your guarantor(s), if any.

If we do not receive a completed Student Account Agreement we will not be able to provide you with cell phone and V-NET (long distance) access. Additions to your Vanderbilt Card account will be on a cash basis. Additionally, information regarding your account cannot be released to your guarantor(s).

Once a Student Account Agreement is completed, it will remain in effect for all periods of enrollment at Vanderbilt.
